We will now turn our attention to these three components of Microsoft Windows 95. Click on the start button. Go to Programs and then Accessories. Move your cursor over the word "Hyper Terminal" and click on it. Hyper Terminal is a program used by the modem to allow for communication between one computer with another, via a modem and the phone line. This program will ask for a phone number which you will call as well as some other information. You will then be able to dial the other computer's modem and Hyper Terminal will do the communications for you. In other words, in order for one computer to communicate with another through the phone line, one computer sends out signals, which are very high pitched sounds which represent data, and the other computer which receives these sounds has software on their side to convert the sounds to data. Hyper Terminal is one such program which converts sounds to data and data to the sounds. To begin using this program and setting it up, make sure you have a modem, a connected phone line and your modem is turned on (this only applies if you have an external modem, since internal modems are always on as soon and the computer is turned on, but external modems can be manually turned on). You'll then get this screen.
Click on this icon to begin the program: You will then get the screen below. Type in a name for your session- I called my session "Practice". You can also choose an icon for your session by clicking on any of the pictures in the box labeled "Icon:".
After clicking on "OK", you will get the following screen. Type in the phone number of the computer which you will be calling using your modem. Also make sure that the area code of the computer you'll be calling is correct, and that the "Connect Using" box lists the name or type of your modem.
After clicking on "OK" you'll get this screen:
From here you can modify the information you just typed in, you can change the dialing properties or click on "Dial" to dial up the other modem. Right now click on "Dialing Properties".
From this screen you can disable call waiting, set up to use a phone card to place your calls and some other options. If you choose to make any changes, do so now. When you are done, click on "OK" You will then return to the screen giving you the option to "modify", "dialing properties" or "Dial" or "Cancel". If you wish to connect to the other computer and you have typed in the correct phone number for the other computer, then click on "Dial". If not, then click on "Cancel". If you did click on dial then when you are done communicating with the other computer, click on "Cancel" when this screen reappears. In either case, you will eventually end up with a blank screen. From here, go to "File" and click on "exit".
You'll then get the following message:
Click on "Yes" to save your session, "no" to discard it or you can "cancel" the exit. If you do click on "Yes" then you will exit the program and will get the following screen:
Practice has been added to your menu. In order to continue your
session, and reconnect to the phone number you specified, all
you have to do is go to the Hyper Terminal menu from the accessories
menu and click on "Practice" instead of "Hypertrm.exe".
We will now go on to Microsoft Exchange and Microsoft Fax. First, close this window by clicking on the "X" at the top right of the screen. Go to the Start-Programs-Accessories menu and locate an option called "FAX" highlight that option and a similar menu to this one will appear:
From here you can Compose a new fax to send out, you can request
to receive a fax (use this if you know someone is going to be
sending you a fax and you'll receive it with your computer, you
have to click on "Request a Fax" to allows the computer
to answer the phone and accept the fax message). Now click on any non-text portion of the screen. Notice on your desktop, you might have an icon similar to this one:
This is the Microsoft Exchange icon. Microsoft Exchange is Microsoft's version of E-mail and Fax in one package. You should click on this icon now to start Microsoft Exchange. You will then get the following screen:
Note: To use the E-mail options of Microsoft Exchange (and all
of Netscape Navigator or Microsoft Internet Explorer, which will
be talked about later on), you must have a TCP/IP Internet account.
To setup a TCP/IP account, refer to Appendix B. From here you can click on to see if you have any new e-mail or you can click on to compose a new e-mail message and eventually send it to someone else. First, click on the "Tools menu". You'll get a similar menu.
Click on "Services". You'll then get this menu. Click on "Microsoft Fax" and then "properties" to set up the Fax program.
You then get this screen. From here, click on "User" and enter in the appropriate information about yourself and you phone number and location.
Then click on "dialing". From here you can once again change the "dialing properties" and can set up the number of tries the fax program should continue to call a number if it receives a busy signal as well as the amount of time between each recall.
Next, click on "OK" when you have completed setting up Microsoft Fax. Then click on "Netscape Internet Transport" and click on Properties. Netscape Internet Transport is used to send and receive e-mail using your TCP/IP account. You will then get the following screen:
Here, type in the appropriate information about yourself and your e-mail address from the "User" menu. Then click on the "Hosts" menu. You'll get this screen:
Here, type in the "SMTP" and "NNTP" as well as the POP3 "Host" name. These boxes are to be filled out with your Internet host provider. To use e-mail under Windows 95, you should have a Windows 95 compatible Internet account (also called a TCP/IP account) set up with an Internet provider. Such providers include schools, AT&T, MCI and thousands of others. These providers have a host name which is the name of the computer which you are connecting to. You should have been told this host name when you signed up for your account. You should enter that host name for these three host boxes. Next, type in your "User Name" for that service and your "Password". Next, click on "Options" and you'll get this screen:
Here, you can set up after how many minutes should the computer check for new mail and two other options. When you are done, click on "Apply" and then "OK". Now, click on the "Compose New E-mail message" icon and you'll get this screen:
Here, type in the e-mail address of the person you want to write to, as well as a necessary "Subject" word. Then type in your message in the big white box below the word "Subject". You can also insert a file or picture or any other object from the "Insert Menu":
When you are done and ready to send your e-mail, click on the envelope from the icon menu or you can click on "Send" from the file menu as shown below.
When your message is sent, or if you don't want to send your message, click on "close" from the file menu. You'll then return to the main screen of Microsoft Exchange. Now, you should go to the file menu and "exit" and not "Exit and log off" (exit and log off shuts of Microsoft Fax, which is loaded automatically when you start Microsoft Exchange, however, exiting Microsoft Exchange will disable e-mail).
Now, right click on the Fax icon at the bottom right of your screen near the computer clock: You'll then get this screen:
Here, you can manually start Microsoft Fax to receive a Fax by
clicking on "Answer Now" or you can set up some other
options from the "Options" menu. Note: You don't have
to manually start up Microsoft Fax to receive a fax- instead,
all you have to do is initially click on either on the Microsoft
Exchange icon or on "Request a Fax" from the Fax menu
and in the background, Microsoft Fax will receive any fax which
comes through while the program is on. Now, close that screen by clicking on the "X" at the upper right hand corner of that screen. Start a program, such as Microsoft Word. When you have started that program, type in a non-sense message for practice. We will then attempt to fax the message you just typed in. Go to the File menu and then click on "Print". You'll get the following screen:
We will want to change the printer, so click on the down arrow to the right of the printer "Name" box. You'll get a similar listings.
Click on "Microsoft Fax". Then click on "OK" to print the document (we are really faxing it!). After a few seconds, you'll get the following screen:
Here, you should type in the appropriate information for the person
you want to send the fax to. Then click on "Next>"
and continue to enter in the appropriate information which Microsoft
Fax asks from you. After three or four screens of questions, you
will have the option to send the fax, by clicking on "Finish".
If you do click on "Finish" the fax will be sent, but
since this is a non-sense practice fax, click on cancel to cancel
the fax. Now, exit Microsoft Word or which ever program you entered and you should be back to the Windows 95 Desktop. You have just completed learning to send and receive e-mail using Microsoft Exchange, as well as sending and receiving faxes, and connecting to the Internet using Hyper Terminal. |
